Daily Over Time
The Daily Over Time report takes the key numbers from the Daily Summary — sales, gross profit, margin, receipts, labor, GAP — and lays them out side by side, one column per period, for as many consecutive days, weeks, months, or years as you ask for. Each row ends with a small sparkline graph so you can read the trend at a glance. It's the report to reach for when the question is "how has this number been moving?" rather than "what happened today?"
Find it on the Reports tab, under the Sales heading in the report sidebar, as Daily Over Time (just below Daily).
Run the Daily Over Time report
- Open the Reports tab and click Daily Over Time under the Sales heading.
- Pick a period size from the first dropdown: Day, Week, Month, or Year. Each period becomes one column in the table.
- In Start:, enter the date the first period begins (a date picker opens when you click the field).
- In Periods:, enter how many consecutive periods to show. For example, period Month, start 1/1/2026, and 12 periods gives you one column per month of 2026; period Week with 8 periods gives you eight weekly columns starting from your start date.
- Optionally narrow the report with the filter dropdowns (see the next section).
- Click Go.
Each column is headed by its date (for single days) or date range. A column headed with an asterisk (*) is a period that isn't finished yet — the note "*This period is incomplete." appears under the table.
Filter Daily Over Time by division, customer class, or department
Between the period fields and the Go button:
- All Divisions — limit the report to one sales division (the dropdown appears only when your account has more than one division).
- All Customer Classes — limit the report to sales made to customers in one customer class (appears only when more than one customer class is set up).
- Choose department... — a multi-select of your departments. Pick one or more whole departments and the report's sales figures total only those departments. On this report, choose whole departments — the sub-department entries in the list (shown as "Department / Sub-department") don't narrow the numbers.
Leave a filter untouched to include everything. The department and customer class filters apply to the sales-based rows; the Labor rows always reflect all labor for the store (and the selected division), since labor isn't recorded by department or customer class.
What each row on the Daily Over Time report means
Every row shows one metric per period, with a sparkline trend graph in the last column:
- Sales — total sales for the period
- Gross Profit — profit after cost of goods
- Margin — gross profit as a percentage of sales
- Receipts — number of receipts
- Avg Receipt — average sale amount per receipt
- Sec/Receipt — average seconds spent ringing each receipt
- Quantity — units sold
- Qty/Receipt — average units per receipt
- Labor — labor cost (hours × pay rate) from the time clock
- OT Labor $ — the overtime premium portion of labor cost (the extra half-time paid on hours over the weekly overtime threshold)
- GP after Labor — gross profit minus labor cost
- Sales/Labor Hr — sales divided by labor hours worked
- Labor/Revenue — labor cost as a percentage of sales
- GAP — margin minus labor as a percentage of sales (hover the ⓘ for the definition); the same GAP figure explained on the Daily Summary page
Compare year-to-date across years ("Compare 'to date'")
To line up a partial year against the same portion of earlier years, set the period to Year and check Compare 'to date' (only for Period=Year) before clicking Go. Each year column then covers only from its start date through the same point in the year as today, so this year's year-to-date is compared against the equivalent year-to-date of prior years instead of their full totals. Columns run this way are marked with an asterisk (*) as incomplete periods.
Daily Over Time on multi-store accounts
Like the Daily report, Daily Over Time normally reports on the store you're signed into — on multi-store accounts the page heading reads "Daily Report Over Time for (store name)."
A store selector that lets you pick several stores and combine their numbers into the same columns (with Select All and Deselect buttons) is enabled per-client by VMX. If you run multiple stores and want cross-store totals on Daily Over Time, contact help@vmxllc.com.
Compare Daily Over Time to a budget
Budget comparison on Daily Over Time is enabled per-client by VMX and requires your budget figures to be loaded into the system. When it's enabled, a Compare to budget checkbox appears; checking it splits each period into four columns — Actual, Budget, Over Budget, and % of Budget — for the Sales, Gross Profit, Margin, Labor, GP after Labor, Labor/Revenue, and GAP rows. Periods that have no budget figure entered are compared against the same period one year earlier instead. (The Sec/Receipt, Quantity, and Qty/Receipt rows are hidden while budget comparison is on.) Download Daily Over Time as a CSV
Click the download icon (tooltip Download CSV) at the top right of the table to save the whole table, including every period column, as a CSV file you can open in a spreadsheet.
Who can see the Daily Over Time report
Daily Over Time follows the same visibility rules as the Daily report. On accounts where report access is restricted by permission, viewing it requires the See Sensitive Numbers permission on your employee record (set under Admin → Permissions). If you believe you should see this report and the link isn't in your Reports sidebar, ask your administrator to check that permission, or contact help@vmxllc.com.
