Routines & On-Demand Pages

Manage both at Admin β†’ Toolbox β†’ VMXpert β€” the Routines and On-Demand Pages cards.

Routines

A routine is a saved, re-runnable job β€” a report, an alert, a watch. Three ways to get one:

  1. πŸ’¬ Build one in chat β€” ask VMXpert for a report you like, then say "run this every Monday morning."
  2. 🧩 Add from the library β€” ready-made routines like "Reorder alerts," "Negative on-hand alerts," "Lapsed-regulars list," or "Morning brief."
  3. ✍️ Write your own β€” describe the job the way you'd explain it to a new employee. Routines you write yourself are carried out by an agent using its permissions; it proposes, you approve.

Triggers

Depending on what's enabled for your store, a routine can run:

  • On a schedule β€” daily, weekly, monthly; you pick.
  • When it gets an email β€” the routine gets its own private email address, shown after you create it. See Emailing VMXpert.
  • When something happens in the POS β€” pick an event, optionally narrowed with a filter.

Managing routines

Each routine card shows its status β€” active πŸ”, paused ⏸️, errored ⚠️, or archived πŸ—„οΈ β€” with actions to Run now, Pause/Resume, Retry, Rename, Reschedule, or Delete. Click through to the detail page for the full picture: cadence, next and last run, run history (when, what triggered it, status, output), and a log of every email it has sent.

Running a routine executes its saved job read-only against your data β€” it may send email if the routine is built to. Deleting a routine is permanent.

On-Demand Pages

An On-Demand Page (you may also see the name VMX Applets) is a live custom screen VMXpert built β€” a daily goal thermometer, a sales leaderboard, a low-stock board, a training quiz β€” with its own URL you can bookmark, put on a wall-mounted screen, or share with the team.

Get one by asking VMXpert in chat ("build me a page that shows today's sales vs. goal") or one-click from the page library (categories include Gamification, Marketing, Operations, Training).

Three things worth knowing:

  • The link is unguessable, but anyone with it can open it. Treat the URL like a key.
  • Each viewer sees only what their own permissions allow. A manager can safely share a page with floor staff β€” the page never shows a viewer data their own account couldn't see.
  • If a page breaks, use Repair. VMXpert fixes the page and brings the fix to you as a proposal to approve β€” an errored page can't be flipped back on without that review.

Pages can be paused (the link stops working until you resume), archived, or deleted.

Datasets

At the bottom of the Routines page you'll find Datasets β€” named data stores that routines and pages can write to over time (a waitlist, a trial log, a tracking sheet). Each shows its collections, row count, and last write.

Warning

Deleting a dataset erases all of its rows permanently β€” this cannot be undone.
