Warranties
The Inventory → Warranties page (marked BETA) is where you define your store's warranty policies — for example a "1 Year Tree & Shrub" warranty — so they can be assigned to items, sub-departments, whole departments, or set as the company default. Warranty documents (the fine print your customer signs or receives) can be attached to each warranty definition.
This feature is in beta: warranty definitions and assignments are fully functional, but where the warranty is surfaced (receipts, register screen) is still evolving — contact help@vmxllc.com if you want to put warranties to work at your store.
Create or edit a warranty
On Inventory → Warranties:
- Click + New Warranty (top right). To change an existing one, click the edit icon on its row instead.
- In the Warranty Info window, fill in:
- Warranty Name — the name staff and customers will see, e.g. "1 Year Tree & Shrub".
- Term — how long the warranty lasts, written as a plain time period, e.g. "1 year" or "90 days". VMX uses this to figure the expiration date from the purchase date.
- Description — the warranty's terms in plain language.
- Click Create (or Update when editing).
To remove a warranty, click the trash icon on its row.
The built-in warranty named None (description "No warranty") is a system record and cannot be changed:
- Deleting it shows: "The system warranty 'None' cannot be deleted."
- Editing it shows: "The system warranty 'None' cannot be edited."
Assign a warranty to items, departments, or company-wide
A warranty can be attached at four levels. The most specific one wins — VMX resolves an item's effective warranty in this order:
- Item — on the item's page, choose from the Warranty dropdown. Default means "inherit from the levels below."
- Sub-department — on the Inventory → Departments page, each sub-department has a Warranty setting (leave it as Default to inherit).
- Department — the department's edit form also has a Warranty field.
- Company default — the Default Warranty setting on the admin Configuration page applies to everything not covered above.
So a typical setup is: set the department-level warranty on Trees & Shrubs, override individual clearance items to None, and leave everything else on Default.
Attach a warranty document
The full printed warranty text (PDF, image, etc.) can be attached to a warranty definition using VMX attachments with the Warranty attachment type. Upload the file and link it to the warranty; the first attached document is used as that warranty's document link.
