All Open Orders
The All Open tab at the top of the Orders section shows every purchase order that has not yet been closed — building, submitted, and received orders all in one table. It's the fastest way to answer "what do we have on order right now?" whether you think in POs, in items, or in departments.
Open the All Open Orders page
- Go to Orders in the main navigation.
- Click the All Open tab at the top of the page.
Any purchase order for your current store whose status is not Closed appears here (multi-store companies can check All stores to include every location — see "View orders for all stores" below). Once a PO is closed, it drops off this page (closed orders remain available from the main Orders page and vendor history).
Switch between By PO, By Item, and By Dept views
The All Open Orders page has three view modes, switched with the buttons at the top right:
- By PO — one row per open purchase order, with dollar totals per PO. Best for tracking and closing orders.
- By Item — one row per item line still on order, across all open POs. Best for answering "is this item on order, and when is it coming?"
- By Dept — open order value rolled up by department. Best for a quick read on how much inventory each department has inbound.
The heading updates to show which view you're in — for example All Open Orders (by Item).
Find open orders for a specific item (Filter by PLU)
To see only the open orders that contain a particular item:
- On the All Open tab, click into the Filter by PLU box.
- Type at least two characters of the item's PLU or description; matching items appear in a dropdown.
- Select the item. The page reloads showing only orders (or order lines) for that PLU.
The PLU filter works in all three views. In By PO view it lists every open PO containing the item; in By Item view it narrows the table to that item's order lines. Clear the box and press Enter to remove the filter.
By PO view columns
In By PO view, each row is one open purchase order:
- # — the PO number. Click the row to open the order page.
- Vendor — the vendor on the order.
- Inv # — the vendor invoice number, if one has been entered.
- Notes — notes entered on the PO.
- Lines — number of item lines on the order.
- $ Ordered — total cost of the items ordered (quantity × unit cost, excluding canceled lines and consignment items).
- $ Invoiced — value received so far, plus shipping. Shown in bold when the PO has a shipping cost.
- Created / By — when the order was created and by whom.
- Received / By — when the order was received and by whom (blank until the order is received).
- Store — which store the PO belongs to (only shown when All stores is checked).
The bottom row of the table totals $ Ordered and $ Invoiced across every open order listed. Rows are sorted by Created date by default; click any column header to re-sort.
By Item view columns
In By Item view, each row is one item line that is still on order (lines already received or canceled are not shown):
- PLU — the item number. Click the row to open the item's inventory page.
- Dept / Sub Dept — the item's department and sub-department.
- Description — the item description.
- Qty — quantity on order.
- On Hand — current on-hand quantity, so you can compare inbound stock against what's on the shelf.
- Unit Cost — cost per unit on the PO.
- Retail $ — the item's current retail price.
- Vendor — the vendor on the PO.
- PO # — the purchase order the line belongs to.
- Ordered Date — when the PO was created.
- Est Delivery — the PO's estimated delivery date, if one was entered.
- Ordered By — who created the PO.
- Store — which store the PO belongs to (only shown when All stores is checked).
The bottom row totals the on-order cost (Qty × Unit Cost) and on-order retail value (Qty × Retail $) across all rows. Rows are sorted by PO # by default.
By Dept view columns
In By Dept view, all open order lines are rolled up into one row per department:
- Department — the department name. Items with no department are grouped under (No Department).
- Items — number of open order lines in the department.
- Qty — total quantity on order.
- Cost $ — total cost on order (quantity × unit cost).
- Retail $ — total retail value on order (quantity × retail price).
The bottom row totals Cost $ and Retail $ across all departments. Department rows are not clickable — switch to By Item view to drill into the individual lines.
View orders for all stores
For multi-store operations, the All Open Orders page shows only your current store's purchase orders by default. Check the All stores checkbox to include open orders from every store; the table reloads automatically and, in By PO and By Item views, adds a Store column so you can see which location each order (or order line) belongs to. This checkbox only appears when your company has more than one store.
Jump straight to a PO by number
In By PO view, the View PO by # box at the top right jumps directly to a purchase order:
- Type a PO number (or start typing a vendor code); matching orders appear in a dropdown.
- Select one — or type the full PO number and press Enter — to open that order's page.
This search finds any PO, not just open ones.
Download open orders to CSV
Click the download icon at the top right of the page (its tooltip reads Download CSV) to save the current table as a CSV file you can open in Excel. The export matches the view you're in — By PO, By Item, or By Dept — and respects any column filters you've applied. Before exporting a large table, set the page size selector at the bottom of the table to All Rows so every row is included.
Sort, filter, and page through the table
The All Open Orders table works like other VMX report tables:
- Sort by clicking any column header; click again to reverse the order.
- Filter by typing in the filter boxes underneath the column headers — the table narrows as you type.
- Page through results with the pager at the bottom. The table shows 20 rows per page by default; use the page size selector to show 10, 20, 30, 40, or All Rows.
- Open a row: click a row to open the PO (in By PO view) or the item page (in By Item view). Hold Ctrl (Windows) or Cmd (Mac) while clicking to open it in a new browser tab.
