Employee Time Slots

The Employee Time Slots page lists every clock-in and clock-out swipe for an employee (or for all employees) over a pay period, and is where swipe times get corrected when someone forgets to clock in or out.

To get there:

  1. Go to Admin β†’ Payroll.
  2. Click an employee's name to see just that employee's swipes, or click All to see every employee's swipes for the period.

Links on the Time page (for example, next to a problem swipe) open the same page for that employee and date.

Making changes to swipes requires the ✏️ Swipes admin permission (see Admin Permissions). The Payroll page you arrive from requires πŸ‘ Payroll, and the Time page requires πŸ‘ Swipes.

Reading the time slots table

Each employee gets a table titled with their name, Payroll ID (if one is entered), and the period. Columns:

  • Date β€” the day of the swipe, with a divider row between days.
  • Store and Division β€” where the employee clocked in. Both are dropdowns you can change (see below).
  • In / Out β€” the clock-in and clock-out times for the time slot.
  • Note β€” a note attached to the clock-in or clock-out swipe (click to add or edit).
  • Hours β€” hours worked for the time slot, with a bold total for the period at the bottom of the table.

A Job column also appears between Division and In when clocking in to a customer or job is enabled for your store. That option is enabled per-client by VMX β€” contact help@vmxllc.com if you'd like it turned on.

Special markers in the table:

  • A green Clocked In in the Out column means the employee is currently clocked in β€” the time slot isn't finished yet.
  • A red Missing in the Out column means the clock-out swipe is missing and should be corrected.
  • A Manual label next to a time means the swipe was entered or changed by hand; it shows who added it and when.

Total Hours for everything shown on the page appears at the very bottom.

Change the period, store, or view

At the top of the Employee Time Slots page:

  • Use the back and forward arrows to jump to the Previous Period or Next Period.
  • Check Only current store to hide swipes that started at other stores.
  • Check Consolidated to combine all employees into one table with Employee and Payroll ID columns. The consolidated view has a Download CSV icon to export the whole table.

Fix or delete a swipe time

You need the ✏️ Swipes admin permission to change swipes.

  1. On the Employee Time Slots page, click the time in the In or Out column you want to fix.
  2. In the prompt ("Enter new time entry for…"), type the corrected time in HH:MM:SS AM/PM format β€” for example 7:58:00 AM.
  3. Click Change.

To delete a swipe, click the time, clear the value so the box is empty, and click Change.

If the time can't be read you'll see "Invalid time." β€” check the format and try again.

Move a swipe to a different division, store, or job

Each row's Division and Store are dropdowns (as is Job, where job clocking is enabled). Pick a new value and confirm the Change Division / Change Store / Change Job prompt to move the time to where the employee actually worked. This is how mis-clocked time gets reassigned before payroll is run.

Add a missed swipe

If an employee forgot to clock in or out entirely, add the swipe by hand (requires the ✏️ Swipes admin permission):

  1. Use the Add Swipe form above the employee's table.
  2. Choose the Division the employee was working in β€” or choose [Clock out] if you are adding a missed clock-out.
  3. Enter the Date and the time (hour, minute, AM/PM).
  4. Click Add Swipe.

The date picker only allows recent dates β€” roughly the last two weeks.

Swipes added this way show the Manual label in the table, along with who added them and when.

Add a note to a swipe

Click the Note cell next to a clock-in or clock-out time, type the note in the prompt, and click Change. Notes are a good place to record why a time was corrected ("forgot to clock out β€” confirmed with manager").
