Email Marketing
Email Marketing lets you send newsletters, sale announcements, and other bulk emails to your customers right from VMX POS — no separate email tool to log into, and your customer list stays up to date automatically.
This feature isn't turned on for every store. If you don't see a Marketing tab in your admin nav, reach out to VMX support to have it enabled.
Getting your account ready
Open the Setup tab. It walks you through everything needed before your first campaign, in order, and shows how many steps are done — see Getting Started for what each step involves.
You can leave it and come back at any point; nothing is lost, and each step checks itself rather than remembering where you got to.
Until setup is finished you'll also see a banner at the top of every Marketing page listing what's still outstanding. Almost all of it you can do yourself:

| Your sending domain isn't verified, or a DNS record is missing | Open Setup — the exact records are listed there with copy buttons and a Check now button. |
| No sending rate is configured, or there's no way to add credits yet | VMX needs to set this up — nothing can send until it's done. |
Tip
Emails go out from your own email address (whatever you set as "from" on the Branding tab), not a generic VMX address. That's why your domain needs to be verified before anything can send — it proves to inbox providers like Gmail that mail from your domain is really coming from you. The records to publish are on the Setup tab, and Check now tells you whether they've taken effect.
Accepting the terms
Before your first send, someone with owner-level access needs to read and accept the email marketing terms — a one-time step covering pricing and how the feature can be used. You'll see a banner with a Read and accept button if you have that access, or a note telling you who to ask if you don't.
If VMX updates the terms later, sending pauses automatically until someone re-accepts — any campaign that was mid-send picks up right where it left off once that happens.
Already using another email service?
If you send email through Constant Contact today, bring your list over before you send anything from here. It takes two steps and it matters in both directions: people who unsubscribed there are unknown here until you import them, and people still subscribed there can't be emailed from here until their sign-ups come across. Sending your first campaign
Once your checklist is done:
- Build a list of who to email — see Lists.
- Write the campaign — see Creating and Sending a Campaign. You'll send yourself a test copy before the real "Send" button unlocks, and you'll see the exact recipient count and cost one more time before anything goes out.
- Check the results afterward — see Campaign Reports.
What sending costs
There's no monthly fee — you're billed only for the emails you actually send, at a rate shown right on the Branding page. An estimated cost is always shown before you send, so there's never a surprise.
Your credit balance isn't managed inside Marketing — it lives on the AI Billing page (Admin → Toolbox → AI Billing). If a campaign runs low on credits partway through, it holds automatically and picks back up the moment more credits are added — see Creating and Sending a Campaign for what that looks like.
Who can do what
Two levels of access, set on the Permissions page (Admin → Permissions):
- View Marketing — see campaigns, lists, and reports, but can't create or change anything. Shown on the Permissions page as the 👁️ Marketing column.
- Edit Marketing — build and send campaigns, manage lists, and everything else. Shown as the ✏️ Marketing column.
Someone with owner-level access can grant either of these to any staff member.
