Buyer's Report
The Buyer's Report answers the buyer's day-to-day question in one table: for a department and date range, what came in, what sold, what did we make on it, and what's left on the shelf? Each item appears on one line with its received quantity, sold quantity, margin, and current on-hand — and underneath each item, a breakdown of which vendors supplied it during the period and at what cost.
Find it at Reports → Ordering → Buyer's Report.
Availability
The Buyer's Report is enabled per-client by VMX. If you don't see Buyer's Report under the Ordering section of your Reports menu, contact help@vmxllc.com to discuss enabling it for your store. A few extra filters and columns (a Part # column, an All Sales Reps filter, a Markup field) are also per-client additions and may not appear on your screen.
Running the Buyer's Report
- Open Reports → Ordering → Buyer's Report.
- Enter the date range in the From and To date fields (both default to today).
- Pick a department from the department dropdown. You can choose a whole department or a specific department/sub-department combination (listed as Department / Sub-department). A department selection is required — if you leave it on all departments, the report shows the message: "Please select at least one department."
- Optionally narrow further:
- All Divisions — limit to one sales division (only shown if your company uses multiple divisions).
- All Classes — limit to sales made to customers in one customer class.
- PLU — a single item (the field autocompletes as you type).
- Description — items whose description contains the text you enter.
- Choose store... — a multi-select of your stores (defaults to the store you're logged into). Use the Deselect and Select All buttons to change the whole selection at once. Only shown if your company has more than one store.
- Choose brand... — a multi-select to limit to one or more brands.
- Only Staple items — checkbox; limits the report to items whose stock status is Staple. When checked, the per-store columns switch from quantity sold to quantity on hand per store.
- Click View.
Use the download icon at the top right of the results to export the table to CSV.
Reading the Buyer's Report columns
Each item in the selected department appears as one row; vendor rows appear indented beneath it.
- PLU / Vendor — the item's PLU (click it to open the item). Indented rows underneath show each vendor that supplied the item during the period.
- Description — the item's name, variety, and color.
- Unit Cost — filled in on the vendor rows: the vendor's List Cost for that item, or if unset, the last cost paid to that vendor.
- Size — the item's size.
- Avg Cost — the average of the item's average costs at the selected stores.
- Qty Rec — units received during the date range. On the item row this is the total across vendors; on each vendor row it is that vendor's share. Transfers between your own stores are excluded. Vendor rows are sorted by received quantity, descending.
- Qty Sold — units sold during the date range.
- % Margin — (sales − cost) ÷ sales for the period, as a percent. On some setups this column (and the totals row) is only shown to employees with permission to see cost data.
- On Hand — current quantity on hand summed across the selected stores, excluding reserved quantities.
- Store columns — one column per selected store, headed by the store code and sorted by store code, showing that store's quantity sold in the period (or its quantity on hand, when Only Staple items is checked).
A totals row at the bottom sums Qty Sold and On Hand and shows the overall % Margin for everything listed.
Buyer's Report tips
- Vendor rows are the quickest cost comparison in VMX. When an item was received from more than one vendor in the period, the indented rows show each vendor's unit cost side by side, with the highest-volume vendor first.
- Use "Only Staple items" for reorder walks. With the box checked, the per-store columns show on-hand rather than sold, so you can scan which stores are light on your always-stocked items.
- On Hand excludes reserved stock, so the number is what's actually available to sell — units held for customer orders are already taken out.
