Sales Tax Report (Taxes)

The Taxes report shows the sales tax you collected for a date range, broken down two ways: a Total by Tax summary (one line per tax rate/jurisdiction — the numbers you need for a tax filing) and a Totals by Receipt detail (the individual receipts behind those totals, so you can verify any figure).

Opening the Sales Tax report

The Taxes report opens from the Media report:

  1. Go to Reports and open the Media Report.
  2. In the SALES section, the Tax amount in each period column is a link. Click the tax figure for the period you want — Daily, WTD, MTD, YTD, or a custom date range.
  3. The Taxes report opens for that exact date range, titled Taxes with the start and end dates.

The report uses the store and division selections that were active on the Media report when you clicked. It covers one store at a time — if you have multiple stores, switch stores on the Media report and run it again for each.

Total by Tax — columns

The Total by Tax table on the Taxes report has one row per tax rate and jurisdiction. If your state stacks multiple taxes on a sale (for example a state tax plus a local city tax), each jurisdiction gets its own row.

  • Rate — the tax rate, as a percentage.
  • Name, Code, Type — the tax jurisdiction from your tax setup. Receipts taxed at the register's standard rate (with no jurisdiction breakdown) show Default.
  • # Receipts — how many receipts are included on this row.
  • Sales — merchandise totals from sale receipts in the period.
  • Returns — merchandise totals from return receipts in the period (negative).
  • Total SalesSales and Returns combined.
  • Taxable Sales — the portion of Total Sales that tax was actually charged on.
  • NT Items — sales of items flagged non-taxable, on receipts that did charge tax on other items.
  • NT Receipts — sales on receipts where no tax was charged at all (for example, tax-exempt customers).
  • Non Taxable Sales — all sales with no tax; this equals NT Items plus NT Receipts.
  • Tax — the sales tax collected, calculated line by line with the same rounding the register uses, so it matches your receipts to the penny.

Totals by Receipt — columns

The Totals by Receipt table on the Taxes report lists every receipt behind the summary numbers, with the same measure columns as Total by Tax plus:

  • Receipt # — links to the receipt, so you can open any line you want to verify.
  • Date — the receipt's post date.
  • Customer # — the customer account on the receipt, if any.

A receipt taxed by more than one jurisdiction (state plus local) appears once per jurisdiction line, so the tax splits correctly by Code and Type.

Click any column header to sort. Use this table to answer questions like "why is my non-taxable number so high?" — sort by NT Receipts and look at which customers' receipts weren't taxed.

Downloading the tax report as CSV

Each of the two tables on the Taxes report has a download icon (Download CSV) above its top-right corner. Click it to save that table as taxes.csv for Excel or your accountant.

Per-client variations on the Taxes report

Some businesses have additional columns enabled — for example Chrg/Pmts, Adjusted Taxable, Adjusted Non-Taxable, and Adjusted Tax, used where sales tax is reported on an adjusted/payment basis for house-charge invoices. On some setups the Totals by Receipt table also shows each receipt as a single combined line (state and local taxes rolled together) instead of one line per jurisdiction.
