Spring 2026
It's been a busy season at VMX. This release includes some of the largest interface overhauls we've shipped in years, alongside a brand-new documentation site, a smarter printer setup experience, and dozens of quality-of-life improvements across the board.
Refreshed Interfaces
Several high-traffic pages have been redesigned with cleaner layouts, better organization, and smarter interactions.
Item Page
The inventory item page has been reorganized from top to bottom:
- Section headers — Fields are now grouped into clearly labeled sections (📦 Inventory, 💰 Pricing, 💸 Cost, 🏷️ Classification, etc.), making it easy to find what you're looking for without reading every field label.
- Actions dropdown — Duplicate, Retag, Merge Into, Print Sign, and other item actions are now collected in a single ⚡ Actions menu at the top right, replacing scattered buttons throughout the page. A guided hint points you there the first time.
- Button groups — The "Discountable" field (Yes / Sometimes / Never) now shows as visible toggle buttons instead of a dropdown, so the current setting is always apparent at a glance.
- Cleaner detail fields — Checkboxes for "Keep Inventory?" and "Allow Reorder?" are displayed inline within their section headers, and the Receiving History tab includes a help note explaining the data.
Customer Page
The customer profile page has been reorganized along the same lines:
- Section headers — Customer fields are grouped into labeled categories (👤 General, 💵 A/R & Billing, 🎁 Rewards, 📧 Communication, etc.) so staff can navigate long forms without guesswork.
- Button groups for common toggles — 17 fields including Credit Status, Loyalty, Taxable, Email Receipts, and Inactive now use Yes/No buttons instead of dropdowns. One click instead of two.
- Reservations tab — A dedicated Reservations tab shows all items held for the customer with checkboxes, so staff can bulk-add multiple reservations to the register in a single action. Per-row options to Release, Adjust Expiry Date, or Trash Qty are also available.
- Guided hints — On-screen hints point staff to features that moved, so nothing gets lost during the transition.
Register Configuration
The Register Config page has been significantly upgraded:
- Toggle switches for preferences — On/off settings now use visual switch toggles, making it immediately clear what's enabled and what's not.
- Real-time status feedback — The Credit Card Processor field shows the associated device name (e.g., "Device: PJ Terminal #123"). The Receipt Printer field shows a live "Ready" or "Possible issue detected" status with a green checkmark or yellow warning.
- Collapsible sections — Hardware Recommendations and Settings & Tools sections are collapsible, reducing clutter while keeping advanced options accessible.
- PrinterBridge setup wizard — When downloading PrinterBridge, the page now shows animated progress as it waits for the bridge to connect, then confirms with a "Printer Bridge Connected!" message and the computer hostname — no more guessing whether setup worked.
Tags Page
- Ready to Print / On Deck layout — Tags are now split into two clear sections. "Ready to Print" (green header with count badge) holds your print queue; "On Deck" holds staged tags awaiting review.
- Click-to-edit — Click directly on a count or tag type to open the edit modal with that field already focused.
- Toast notifications — Actions like "3 tags moved to Ready to Print" appear as brief slide-up notifications, so you don't lose your place.
Find Receipt
- Two-column filter layout — Search filters are now arranged in two columns side by side, cutting down on scrolling and making the form faster to scan.
- Collapsible filter panel — When results are showing, the filters collapse to a single toggle bar, giving more room to the results table. One click brings the filters back.
- New filters — You can now filter by Division and Quote Number, in addition to all the existing receipt search criteria.
Orders
PO Import Review
The Purchase Order import review screen has been significantly upgraded for importing Excel files:
- Configurable match strategies — Toggle 9 different item-matching algorithms (exact PLU, barcode, part number, fuzzy name matching, cross-matching, and more) so you can control how the importer identifies your items.
- Row-level checkboxes — Selectively include or exclude individual rows before committing an import. Use the "select all" checkbox for bulk control.
- Value diffs — When an imported row matches an existing item, the review screen shows the current database value alongside the new value (e.g., "was $3.99") for prices, names, descriptions, and costs — so price changes are impossible to miss.
- Fix: Silent data loss — A bug that caused rows beyond the header width of an XLSX file to be silently dropped has been fixed. All rows now import correctly regardless of spreadsheet formatting.
Other Order Improvements
- A "Push to QBO" button now appears on vendor and purchase order pages for vendors not yet linked to QuickBooks Online, making it faster to set up the connection without leaving the order.
- The Outside Freight field in PO other costs now includes a contextual help notice explaining what it's for and how it affects accounting.
Inventory
- Sub-department table — The inventory sub-department view now includes PLU count, total cost, and retail price columns, giving you cost and profit visibility per sub-department at a glance.
- Import/Export — Cross-sell relationships can now be included in inventory exports and re-imported, with timestamp tracking so you can audit when cross-sell links were set.
Register
- Hold Sale — "Save a copy" — The hold sale modal now includes help text explaining what "Save a copy" does, reducing confusion about whether the original sale is preserved.
- Batch held-sale load — When loading multiple held sales at once, the per-sale confirmation prompt is now skipped for a faster workflow.
Attachments
- ZIP file preview — Uploading a ZIP file now shows the complete list of contents (file names, sizes, types, and dates) directly in the attachment viewer. Click any file to download it individually — no need to extract the whole archive.
- QR code upload — Staff can now scan a QR code to upload attachments from a mobile device. A two-phase indicator shows when the QR code is scanned and when the upload completes, and the modal closes automatically when done.
- Excel viewer improvements — If your browser can't render an Excel attachment natively, fallback links to Microsoft Office Online Viewer and Google Docs Viewer are provided automatically.
- Quick-action buttons — Every attachment in your Recent and Unassigned tables now has action buttons to copy the direct link, open in a new tab, or jump to the edit page.
Admin
Printer Bridge v19
The VMX Printer Bridge (the background app that connects Windows print queues to VMX) has been rebuilt:
- Embedded configuration installer — The downloaded EXE is pre-configured for your specific printer and location. Just click Install — no separate config file setup required. One EXE per printer/computer.
- Faster startup — Diagnostics that previously took up to 15 seconds now complete in about 5 seconds.
- Remote monitoring — The VMX Admin panel now shows real-time status for each connected bridge: last connect time, computer name, Windows version, IP address, installed printers and their status, and recent spooler errors. You can remotely restart the service or flush stuck print jobs without touching the Windows computer.
Admin Tool Box
A new centralized hub for power users collecting bulk operations in one place:
- Bulk item operations — Merge duplicate items via CSV/Excel upload, or bulk-delete items with a dry-run preview before anything is committed.
- Data export — Export customers, inventory, receipts, and other datasets as ZIP-packaged CSVs in one click.
- Gift card management — Import and export gift cards and store credits with balance tracking.
GL Audit Log
All changes to your General Ledger transactions now generate a detailed audit trail. Each entry includes the full line context and linked references (receipt numbers, PO numbers, etc.), making it straightforward to trace any change back to its source.
Config & Feature Flag Change Log
Changes made to client configuration settings and feature flags are now logged with timestamps and the employee who made the change — useful for tracking down when a setting was last modified.
Admin Time — Manual Swipe Notes
When adding a manual clock entry for an employee on the Admin Time page, you can now include an optional note explaining the reason for the adjustment.
Documentation
VMX now has a dedicated documentation site, accessible from the Help link in VMX.
- Full-text search — Find any topic across all documentation instantly using the built-in search bar (keyboard shortcut:
/). - Light & dark mode — Toggle between light and dark themes from the header.
- Mobile-friendly — The docs are fully responsive and work well on phones and tablets.
- New content this season — Added guides for Inventory Counting, GMROII, Order Planning, Buyer's Guide, Printer Bridge, and a new SKU Planning Strategy guide.
